FLAG ACADEMY PRIVACY POLICY

By booking, engaging, or using any service provided by FLAG Academy, whether as a Client organisation or as an individual Participant, you agree to be bound by this Privacy Policy. Your use of this Website confirms your acceptance of this policy.

1. Who We Are

FLAG Academy is operated by Ann du Plessis as a sole proprietor, providing corporate and individual training in psychological safety, gender-based violence prevention, self-defence, anti-hijacking, and anti-bullying, delivered at Client premises across South Africa and online.

2. Our Commitment to Your Privacy

We respect your right to privacy and will never sell or rent your personal information. We will only disclose personal information where required by a valid legal process, or as otherwise described in this policy.

3. The Law That Governs This Policy

Personal information collected and processed by FLAG Academy is handled in accordance with the Protection of Personal Information Act 4 of 2013 ("POPIA"). "Personal information" has the meaning given to it in POPIA, and broadly includes any information that identifies or relates to an identifiable individual, such as a name, contact details, or image.

4. What Information We Collect

Depending on how you engage with FLAG Academy, we may collect:

  • Contact and billing details of a Client organisation (name, email, phone number, company details, billing address).
  • Names and attendance details of Participants booked in for a Workshop by a Client.
  • Information you provide directly, such as through a website form, survey, booking enquiry, or newsletter sign-up.
  • Photographs or video recordings taken during a Workshop, as described in our Terms and Conditions.
  • Basic website usage data collected through cookies (see clause 6 below).

5. How We Use Your Information

Information we collect is used only to:

  • Deliver, invoice, and administer a booked Workshop.
  • Communicate with you about a booking, enquiry, or Workshop logistics.
  • Send newsletter or marketing content, where you have signed up to receive it.
  • Improve our Website and Workshop delivery.

We do not use personal information for any purpose beyond what is described above without your consent.

6. Cookies

Our Website may use cookies to record when you last visited, in order to help us understand and improve the visitor experience. Cookies used for this purpose do not collect personal information.

7. Photography and Video

Where photographs or video are taken during a Workshop for marketing or training purposes, this is handled in accordance with clause 10 of our Terms and Conditions. Any Participant who does not wish to be photographed or recorded may notify the facilitator prior to the Workshop.

8. Data Retention

We retain personal information only for as long as reasonably necessary to fulfil the purpose it was collected for, including any applicable legal, accounting, or reporting requirements, after which it is securely deleted or anonymised.

9. Security

We take reasonable technical and organisational measures to protect personal information in our care. However, no method of storage or transmission is completely secure, and we cannot accept liability for unauthorised access resulting from circumstances beyond our reasonable control, including criminal acts by third parties such as hacking or phishing.

10. Your Rights Under POPIA

You have the right to:

  • Request confirmation of what personal information we hold about you.
  • Request access to, or a copy of, that information.
  • Request correction or deletion of information that is inaccurate, outdated, or no longer needed for the purpose it was collected.
  • Object to the processing of your personal information in certain circumstances, including direct marketing.
  • Lodge a complaint with the Information Regulator of South Africa if you believe your information has been mishandled (www.justice.gov.za/inforeg / enquiries@inforegulator.org.za).
